Why coaching runs on WhatsApp
Admissions season is a flood of enquiries from parents comparing four institutes at once. The one that answers quickly, sends the batch timings and fee structure, and books a demo class is the one the family visits. After admission, WhatsApp is already where parents expect class changes, fee dues and test results — usually through personal phones and messy groups. A business account turns that into something organised.
What coaching institutes actually run
Enquiry replies
An automatic first reply with courses, batch timings and fees, then quick-reply buttons for class, subject and preferred timing. The counsellor picks up a qualified enquiry in the team inbox instead of starting from scratch.
Demo classes
A demo booked in chat, a confirmation, and a reminder the evening before and an hour before. A student who attends a demo is far more likely to enrol than one who only enquired.
Follow-up to admission
After the demo: the fee plan, scholarship or early-bird details, and an answer to the question the parent asked. Timely and specific beats repeated "any update?" calls.
Class and batch updates
Schedule changes, holidays, extra classes and test dates, sent to each family individually — without a group that shares every parent's number with every other parent.
Fee reminders
A reminder before the due date with a UPI payment link, and a receipt when it is paid. Utility messages, cheap, and they cut the awkward front-desk conversations.
Results and progress
Test scores and attendance summaries to parents. Keep them short and factual, and send anything sensitive — a disciplinary matter, a struggling student — as a request to talk, not a message.
What it costs
Since 1 July 2025 Meta bills per delivered template message. In India, utility messages — demo reminders, class updates, fee reminders, results — cost roughly ₹0.125 each, and are free inside an open 24-hour service window. Marketing messages — new-batch announcements, admission offers — cost roughly ₹0.88.

Students, parents and consent
- Under 18, the parent is the contact. The Digital Personal Data Protection Act 2023 requires verifiable consent from a parent or guardian to process a child's personal data. Take it at admission, in writing, and record it.
- Keep marketing separate. A parent who agreed to fee reminders did not agree to promotions for other courses. Ask separately.
- Do not use purchased student lists. Exam-result and school lists circulate freely; messaging them breaks WhatsApp's Business Messaging Policy and gets numbers restricted.
- Scrub promotional sends against TRAI DND.
- Prefer broadcasts to groups for announcements, so families' numbers stay private.
